Who we are

SmileCommand is practice-management software owned and operated by Milestone Laboratories Ltd (company number 16406267), registered at 5 Beechcroft Road, Swindon, Wiltshire, SN2 7RD, United Kingdom.

How the service handles information

Dental practices use SmileCommand to manage patients, appointments, clinical records, treatment plans, payments and communications. The practice is normally the data controller for its patient information and Milestone Laboratories Ltd acts as its data processor. Practice staff account and service-administration information is processed so we can provide, secure and support the platform.

Google Calendar information

When an authorised clinician connects Google Calendar, SmileCommand uses the permission granted by that user to check calendar availability, prevent booking clashes, create or update SmileCommand appointments and show relevant busy periods inside the practice diary. Google Calendar information is not sold, used for advertising or shared for unrelated purposes.

Google access tokens are stored securely and used only to provide the requested calendar connection. A user can disconnect access in SmileCommand or revoke SmileCommand from their Google Account permissions.

Health and other sensitive information

The service may contain health information entered by a patient or authorised practice staff. Access is restricted to authorised users of the relevant practice. Practices are responsible for ensuring that they have an appropriate lawful basis and provide their own patient privacy information.

Security and retention

We use access controls, encrypted connections, session protection, audit information and appropriate technical and organisational measures. Information is retained for the period required to provide the service, meet contractual or legal duties and support the practice's clinical-record obligations, after which it is securely deleted or anonymised where appropriate.

Patients should normally contact their dental practice about access, correction, restriction or deletion of their clinical information. Questions about SmileCommand's own processing or Google Calendar access can be sent to support@smilecommand.co.uk.
